How to Generate Pickup/Delivery Orders for Ocean Export Shipments in GoFreight
The Pickup/Delivery Order function streamlines the process of creating and managing transport requests. Follow this guide to generate, customize, and finalize your Pickup/Delivery Order document for Ocean Export shipments.
Step 1: Accessing the Pickup/Delivery Order
You can generate pickup and delivery orders from the Booking module or on a shipment basis.
- Open the relevant HBL (House Bill of Lading) file.
- Click on the Tools button in the upper right corner.
- Select Pick/Delivery Order from the dropdown menu.
Step 2: Customizing the Document Title
After generating the form, you can modify the document title to reflect your requirements.
- Click on the title column in the upper right corner.
- Select from the available options:
- Pickup & Delivery Order
- Request for Transport
Step 3: Entering Pickup and Delivery Information
The left-hand section contains essential Pickup Information, including:
- Trucker
- Empty Pickup Location
- Freight Pickup Location
- Loaded, Return, Delivery To
Selecting the Party
Each field has a Select option that allows you to choose a party directly from the Trade Partner List without leaving the preview page.
Adding Reference Number and Date
At the bottom of this section, you can manually enter:
- Reference No.
- Date
Step 4: Reviewing Shipment Information
The right-hand side displays crucial shipment details, including:
- Port of Loading and ETD
- Port of Discharge and ETA
- Package Information
Billing Party Display Option
You can show or hide the Bill To Party information by checking or unchecking the "Show Bill To Party" option.
Step 5: Managing Container Details
The form includes container-specific details such as:
- Seal No.
- Pickup No.
- Last Free Date (LFD)
This data is automatically linked from the Container & Item tab under the shipment. You can review and update it in that tab before finalizing the document.
Note: You can click the small "+" icon next to Container No. to expand additional fields for input. In the expanded section, you can enter the Pickup No., LFD, and any other important details you need to record.
Step 6: Adding Additional Instructions
The Description & Instructions section allows you to input extra notes. You can:
- Manually enter Description & Instructions
- Use the Insert Template function for predefined text. This feature can be enabled upon request.
Creating and Using a Template
- Click the blue arrow in the upper corner of the instruction box.
- Click the blue pen icon to open the Text Template window.
- Click ADD (green button) to create a new template.
- Name your template (e.g., TEMPLATE 01) and click the check mark to save.
- Enter your text (e.g., PLEASE CALL MR. DUPONT AT XXXXXXX).
- Click SAVE, then APPLY to insert the template into the document.
Once saved, the template will be available for future use.
Step 7: Export and Send the Pickup and Delivery Orders
After confirming all shipment details on the Pickup/Delivery Order preview page, you can download, print, or send the document directly from GoFreight using the following options at the top of the page:
- PDF (Download the document in PDF format)
- PRINT (Print a hard copy)
- EMAIL (Send the document via email)
- WORD (Available upon request)
Once you click any of these icons, the document will be automatically saved in the DOC Center for record-keeping.
By following these steps, you can efficiently generate and customize Pickup/Delivery Orders in GoFreight, ensuring smooth and accurate transport coordination.
