How to Generate a Trial Balance in GoFreight | GoFreight Help Center
A Trial Balance summarizes General Ledger (G/L) account balances for a selected period. By default, the report shows the beginning balance, debit and credit activity during the period, and the ending balance. You can also create a simplified Excel file that contains only ending balances.
Before You Begin
- Display Currency Detail is available only when Multiple Currency is enabled.
- To enable Multiple Currency, contact GoFreight Support and specify the currencies your company needs. Multiple Currency cannot be disabled after it is enabled.
- Ending Balance Only is available only for Download Excel. It does not apply to Preview, Print, PDF, or Word output.
Generate a Trial Balance
Step 1: Open the Trial Balance
Go to Accounting > Report > Trial Balance.

Step 2: Select the report period and office
- Select the Period you want to review.
- Select one Office, or select All to include every available office.
Step 3: Choose a format
Select the format that matches the level of detail you need:

Step 4: Choose additional options (Optional)
Under More Options, select either option when needed:
- Group by Sub G/L Code groups the report by “Sub G/L Code” (“Sub G/L Code” can be set up by navigating to Settings > Accounting>G/L Code > Sub column)
- Ending Balance Only creates a simplified Excel file containing only ending-balance columns.
If you want to use Preview, Print, PDF, or Word output, leave Ending Balance Only unchecked.
Step 5: Generate or download the report
- Click Preview or Print, depending on the option shown for your company, to view the complete report.
- Click Download PDF when available, or Download Excel to download the complete report.
- If Ending Balance Only is selected, click Download Excel. The other output buttons are disabled until the option is cleared.

Export Only Ending Balances to Excel
Use Ending Balance Only when you need a concise Excel file for period-end review or sharing.
- Select the Period, Office, and Format.
- Under More Options, select Ending Balance Only.
- Click Download Excel.
The Excel columns retained depend on the selected format:

Subtotal and total rows remain in the workbook. The option changes only which columns are included; it does not change the retained balances or calculations.
Multi-Currency Scenario
- If you are using multi-currency, you have three formats for the Trial Balance to choose from:
(i) Select Standard Style and click “Preview.”
This format shows the Beginning Balance, Debit, and Credit for the period, and it calculates the Ending Balance in the main currency.
(ii) Choose Display Balance by Debit/Credit and then click “Preview.”
This option separates debit and credit amounts in both the Beginning and Ending Balances.
(iii) Select Display Currency Detail and click “Preview.”
This format displays any transactions in other currencies, along with the corresponding amounts.
Multi-Office Scenario
When Office is set to All, the Excel file contains one column group for each office and a consolidated Company (ALL) group at the end.
- With Ending Balance Only unchecked, each group contains the complete beginning-balance, debit, credit, and ending-balance columns.
- With Ending Balance Only selected, every office group and the Company (ALL) group retain only their ending Balance columns.
- The existing Company (ALL) group remains the consolidated total. The option does not add another total column.



Review the Trial Balance
In the previewed report, each G/L No. is a hyperlink. Select a G/L number to open the G/L Detail (Landscape) report and review the transactions behind that balance.
Expected Behavior
- Ending Balance Only is unchecked the first time a user accesses the option.
- The selection is saved as a user preference, so it remains selected when the user returns to the Trial Balance, even after signing out and back in.
- While the option is selected, Download Excel remains available. Preview/Print, Download PDF, and Download Word are disabled.
- Clearing the option immediately restores the other output buttons and the complete Excel column set.

Troubleshooting
Issue 1: Preview, Print, PDF, or Word is Disabled
Ending Balance Only supports Excel output only. Clear the checkbox to restore the other output options.
Issue 2: The Excel file still contains the complete column set
Confirm that Ending Balance Only was selected when you clicked Download Excel. If the issue continues, send GoFreight Support the selected Period, Office, Format, and the downloaded workbook.
FAQ
1. Does Ending Balance Only change the Trial Balance calculations?
No. The option removes beginning-balance and period-activity columns from the Excel file. It does not change the retained balances, subtotals, or totals.
2. Does my Ending Balance Only selection affect other users?
No. The selection is saved separately for each user.
3. Why may the Balance Sheet and G/L Report differ?
The Balance Sheet is a point-in-time report. It uses an As Of date because it shows assets, liabilities, and equity accumulated through that date.
The Trial Balance and G/L Report are period-based reports. They use a start and end date to show balances and accounting activity during the selected period.
To reconcile the reports:
- Set the Trial Balance end date to the Balance Sheet As Of date.
- Use the same company, subsidiary, or office.
- Compare the Trial Balance ending balances with the Balance Sheet.
- Run the G/L Report for the same Trial Balance period to investigate debit and credit activity for any account that differs.
Compare account-level balances instead of grand totals. Income and expense accounts roll into Net Income or Equity on the Balance Sheet, so those accounts do not appear as one-to-one lines.
