Which User Permissions Can Be Customized in GoFreight?

 

Before We Start

In GoFreight, the system includes predefined feature permissions for the following user roles based on their typical daily responsibilities: Admin, General Manager, Accounting Manager, Operation Manager, Sales Manager, Accounting, Operation, and Sales.

These roles are not directly tied to your company’s actual job titles. Instead, we recommend assigning user roles based on each user’s daily tasks and job responsibilities.

The default feature permissions assigned to each role cover the operational needs of most freight forwarders. However, since every company has its own internal workflows and policies, many customers require customized role settings or user-specific permissions.

In addition to the default permissions assigned to each role, some features can also be customized for specific user roles or individual users. The latter means a feature can be enabled or disabled for a user without changing their original user role.

💡 Tip:
If your user ID has the Admin or General Manager role, you can go to Settings > User Management at any time to view your current user list, including both enabled and disabled users. There, you can review information such as:

  • User names (Display First Names and Last Names)
  • Linked email addresses
  • Accessible offices
  • Assigned user roles

If you would like to review the Permission Table for each user role in GoFreight, simply click any User ID hyperlink, then click the View Permission Table hyperlink next to the Role field.

⚠️ Important:
This table only shows the default feature permissions for each user role. It does not represent the actual customized permissions currently assigned to a specific user. Please keep this distinction in mind to avoid misunderstanding the purpose of the table.


How to Request Changes

To protect your account security, the GoFreight Support Team requires an email approval from a user with an Admin or General Manager role before we can implement any permission changes.

Common Permission Customization Requests

Below are several common user role and permission customization requests we frequently receive from customers for your reference.

Top 1: Allow Operation Users to Create and Edit Trade Partners

By default, the following user roles can create and edit Trade Partners:

  • General Manager
  • Operation Manager
  • Accounting Manager
  • Accounting

Although we generally recommend limiting Trade Partner database maintenance to a smaller group of users to ensure data accuracy and consistency, many customers request this permission for Operation users to improve operational efficiency.

We can configure this permission in two ways:

  • Enable the permission for all Operation role users, including future users assigned to the Operation role.
  • Enable the permission only for specific users without changing their existing role.

Top 2: Restrict Operation Users to Viewing and Editing Only Their Own Files

By default, all Operation team roles can view and edit both their own files and files assigned to other users.

However, some companies prefer stricter access control. We can configure the system so that Operation users, or specific users, can only view and edit their own files, including:

  • Shipment Files
  • Misc Files
  • Invoice Files

Shipment Files include:

  • Ocean Import
  • Ocean Export
  • Air Import
  • Air Export
  • Truck

Top 3: Allow Operation Teams to Access Agent / Local Statement Functions

By default, the following roles have access to the Agent / Local Statement function:

  • General Manager
  • Accounting Manager
  • Accounting

Some companies assign customer reconciliation tasks to their Operation team, which creates the need for this permission.

We can also enable this feature for:

  • Operation Manager
  • Operation users
  • Specific designated users

Top 4: Allow Operation Teams to Use Shipment Block and Shipment Unblock Functions

By default in GoFreight:

  • Shipment Block/Unblock is available only to the General Manager role.

Block and Unblock are configured as separate permissions in GoFreight. This means you may request that a user or role permission to Block files without granting permission to Unblock them.

Top 5: Allow Operation Teams to Use Invoice Block and Invoice Unblock Functions

By default in GoFreight:

  • Invoice Block / Unblock is available only to the General Manager and Accounting Manager roles.

Block and Unblock are configured as separate permissions in GoFreight. This means you may request that a user or role permission to Block files without granting permission to Unblock them.

Top 6: Allow Operation Users to Assign OP in Charge

In GoFreight, Operation users can only reassign shipment files currently assigned to themselves to other Operation team users. They cannot take shipment files assigned to other Operation users and assign them to themselves.

The following roles have full OP in Charge assignment access by default:

  • General Manager
  • Operation Manager

We can also enable this permission for specific Operation users without changing their existing role.


Top 7: Restrict Operation Users from Accessing Accounting Data

By default, Operation users can create and edit accounting data, including:

  • AR Invoices
  • AP Invoices
  • DC Notes

However, some companies do not allow Operation users to create, edit, or even view accounting data.

We can configure the system so that Operation users, or specific designated users, no longer have access to these accounting functions.


Top 8: Allow Operation Teams to Receive Payments

By default, the following roles can perform both Make Payment and Receive Payment actions:

  • General Manager
  • Accounting Manager
  • Accounting

Make Payment and Receive Payment permissions can be configured separately. Therefore, we can enable only the Receive Payment function for:

  • Operation Manager
  • Operation users

without granting Make Payment access.


Top 9: Allow Operation Teams to Access Volume & Profit Reports

By default, the following roles can access the Volume & Profit Report:

  • General Manager
  • Sales Manager
  • Accounting Manager
  • Sales (limited to their own files)
  • Accounting

We can also enable Volume & Profit Report access for:

  • Operation Manager
  • Operation users

if required.


Top 10: Allow Accounting Teams to Configure G/L Codes, Billing Codes, and Bank Lists

By default, only the following roles can access the Accounting section under Settings, including:

  • G/L Code
  • Billing Code
  • Bank List
  • Currency Table (if the multi-currency feature is enabled)

The default roles with this access are:

  • Admin
  • General Manager

We can also grant this permission to:

  • Accounting Manager
  • Accounting users

💡 Tip:
Before modifying any G/L Codes or Billing Codes, including code structures, naming conventions, or code mappings, we recommend consulting your CPA (Certified Public Accountant) or accounting advisor to ensure your financial reports and tax filings remain accurate.
